Project Administrator

Summary of Role:

The Project Administrator (PA) assists the project team with project-related tasks, including setting up project deliverables, communicating with clients by way of sending client status updates, scheduling, and project follow ups as deemed necessary by the Senior PC or PM, monitoring project statuses, taking notes during client calls, and updating project-related information and data in project tracking software. The position requires excellent organization, excellent oral and written communication skills, excellent listening and note-taking skills, as well as great attention to detail. We are looking for a reliable and thorough individual who loves to work in a team environment. There is long-term advancement opportunity for this position as industry and company familiarity increases and the company expands.

Core Duties will Include:

  • Familiarity with company services;
  • Create, monitor, and complete tasks in CRM system;
  • Take notes during client calls;
  • Track and enter data from projects for reporting purposes;
  • Communicate directly with clients as needed via email;
  • Schedule project-based phone calls or virtual meetings;
  • Supports management with projects and deliverables for all services, from project inception to project completion, focusing on supporting the project team;
  • Enter basic information into form contracts, cash flow models, correspondence, and other writing assignments for the Project Coordinator's (PC) or Project Manager’s (PM) review;
  • Maintain electronic files and manage documents;
  • Maintain project-based entries on PC or PM’s calendar and in CRM system;
  • Provide consistent updates on status of projects;
  • Prepares documents and other deliverables for delivery to client
  • Other duties and responsibilities as needed.

Requirements:

  • Strong organizational skills and attention to detail;
  • Excellent written and oral communication skills;
  • Excellent listening and note-taking skills;
  • Ability to multitask, work independently, and prioritize effectively;
  • Excellent knowledge of MS Office programs (Word/Excel/PowerPoint);
  • Exemplary planning and time management skills;
  • Experience with HubSpot, Zoho, or other similar CRM or project management systems (preferred);
  • Knowledge of the financial services industry (preferred);
  • Bachelor’s Degree plus 3 years of experience in a related field; or, alternatively, high school diploma plus 5 years of experience in a related field.

The ideal candidate will be detail-oriented and have the ability to independently prioritize tasks in a fast-paced environment with multiple points of contact. This person should be self-guided, organized, energetic, outgoing, willing to assist others, and a go-getter!

Employment: Full-time; Monday-Friday (8:00am-5:00pm)

Pay Range: $50,000.00 to $65,000.00 /year
