Summary of Role:

The Administrative Assistant assists the SRG as a whole and provides support to managers, other employees, and clients by handling a variety of tasks. In addition, this position is designed to help complete a variety of company projects and to assist the Office Manager with daily tasks and projects as needed. The position requires excellent organization, excellent oral and written communication skills, excellent listening, and note-taking skills, as well as great attention to detail. We are looking for a reliable and thorough individual who loves to work in a team environment. There is long-term advancement opportunity for this position as industry and company familiarity increases and the company expands.

Core Duties will Include:

  • Answer and direct incoming calls, take messages and respond to voicemails;
  • Scheduling calls related to projects for multiple departments;
  • Processing new engagement agreements;
  • Preparing invoices for clients, process payments, and send paid invoices;
  • Resolve payment processing issues with clients, if necessary;
  • Send questionnaires, project overviews, and any other items to client;
  • Managing support chat questions;
  • Organizing and storing computer files;
  • Compiling travel details;
  • Contributes to team effort by accomplishing related duties, as needed.

Project Based:

  • Assist with side projects, as necessary;
  • Assist with research projects, as necessary;
  • Create, monitor, and complete tasks in CRM system;
  • Track and enter data from projects for reporting purposes;
  • Communicate directly with clients as needed via email;
  • Detailed communication tracking for clients and associated projects;
  • Maintain electronic files and manage internal documents;
  • Maintain project-based entries on PC or PM’s calendar and in CRM system;
  • Provide consistent updates on status of projects internal team members;
  • Other duties and responsibilities as needed.

Requirements:

  • Strong organizational skills and attention to detail;
  • Excellent written and oral communication skills;
  • Excellent listening and note-taking skills;
  • Ability to multitask, work independently, and prioritize effectively;
  • Excellent knowledge of MS Office programs (Word/Excel/PowerPoint);
  • Exemplary planning and time management skills;
  • Experience with form contract preparation/legal writing (bonus);
  • Experience with HubSpot, Zoho, or other similar CRM or project management systems (preferred);
  • Knowledge of the financial services industry (bonus);
  • Dedicated team player looking to establish a long-lasting career;
  • Bachelor’s Degree plus 3 years of experience in a related field; or, alternatively; high school diploma plus 5 years of experience in a related field;

The ideal candidate will be detail-oriented and have the ability to efficiently work independently to prioritize tasks in a fast-paced environment with multiple points of contact. This person should be self-guided, organized, systematic, energetic, outgoing, willing to assist others, and a go-getter!

 

Employment: Full-time; Monday-Friday (8:00am-5:00pm)

Pay Range: $45,000.00 to $55,000.00 /year
